Indigo5415ParticipantIndigo Real Estate Services, a Seattle based property management firm, has an immediate opening for an Office Coordinator/Receptionist for the Indigo Home Office located in Seattle, WA.
The successful Office Coordinator/Receptionist will take pride in our home office space and ensure the cleanliness, efficiency, and smooth operations needed day to day. A positive attitude and high level of customer service is a must. They should work well with minimal supervision, be a self-starter, and proactively anticipate the needs of our home office staff. This position will require consistent attendance and schedule and work closely with the Operations Manager to ensure initiatives are completed.
Job responsibilities include:
• Provide a positive first impression to visitors, clients and the public through prompt phone contact and in-person greeting
• Responsible for opening and closing procedures for the home office
• Oversee all office equipment and supply inventory including order placement
• Establish and maintain a budget for home office supplies, events, and maintenance
• Monitor office and grounds for cleanliness, work with maintenance for any fixes needed
• Coordinate conference room scheduling and ensure supplies are set up for meetings
• Coordinate home office vacation/schedule calendar in Outlook
• Assist Accounts Payable with timely check mailings daily
• Manage mail, Fed Ex, and package delivery services
• Assist departments with routine tasks as needed to provide additional support
• Maintain up to date and well organized filing system for property and office documents
• Assist Operations Manager in managing shared digital storage drives
• Serve as point of contact for yearly/quarterly projects such as Dupre & Scott site surveys, etc.
• Perform monthly audit of real estate licenses, coordinating with upcoming expirations or audits
• Coordinate with HR and IT to help onboard/offboard home office employees
• Assist with other miscellaneous projects as directed by the Operations ManagerQualifications:
• AA degree highly preferred, or 2+ years equivalent business experience. High school diploma or equivalent required.
• Intermediate skill level in Office products, Publisher or Acrobat a plus
• Ability to exercise quick and accurate judgment to prioritize shifting tasks
• Ability to maintain strict confidentiality
• Abide by all Fair Housing, Federal and State laws and guidelines
• Complete all yearly training requirements
• Abide by all Indigo policies and procedures
• Effective in conflict resolution and customer service
• Proactively anticipate support needs
• Able to handle frequent interruptions in work flow
• Receptive to feedback, a fast-learner, self-motivated and proactive communicatorCompensation: Competitive salary based on experience and includes health, vision, and dental insurance, paid time off.
