About the Role
A premier technical recruiting firm based in West Seattle is seeking a highly organized, tech-savvy Executive Assistant to support senior leadership. This position plays a critical role in keeping daily administrative and search operations running smoothly. Because you will handle sensitive candidate and client information, absolute discretion and a strict commitment to confidentiality is essential.Key Responsibilities
• Data & Records: Handle sensitive candidate resumes, client agreements, and executive communications with complete discretion and confidentiality.
• Daily Dictation & Correspondence: Transcribe daily dictation and draft professional emails, correspondence, and candidate documentation with high speed and accuracy.
• Document & Data Management: Create, format, and edit complex documents, candidate profiles, and reports using Word, Excel, and Adobe.
• Calendar & Inbox Support: Manage executive schedules, coordinate interviews, and maintain clean, organized communication flows via Outlook.
• Ability to maintain/troubleshoot and basic technical support of office equipment….PC’s, scanners, copiers, phone system, etc.
• Office & Operational Organization: Implement and maintain efficient filing systems, track ongoing recruiter tasks, and ensure that day-to-day administrative details are handled proactively.
• Primary liaison for personal affairs: Drive operational efficiency for the owner by seamlessly executing high-touch personal logistics, calendar priorities, confidential personal documentation/ travel arrangements, etc.Qualifications
• Uncompromising Integrity: Demonstrated capability to maintain strict confidentiality regarding high-profile client searches and candidate privacy.
• Advanced Computer Skills: High proficiency in Microsoft Word, Outlook, Excel, and Adobe Acrobat is required.
• Transcription/Dictation Ability: Proven capability to accurately capture and transcribe verbal dictation into clear, professional written communications.
• Exceptional Organization: Outstanding time management skills with a strong record of prioritization and accuracy.
• Professional Communication: Excellent written and verbal skills suitable for interacting with senior-level candidates and clients.
• Leverage AI tools to automate administrative tasks and optimize output.Schedule & Compensation
• Hours: Part-time, morning schedule (exact hours negotiable within business needs).
• Paid Time Off: 2 weeks paid vacation (initially) and 5 paid sick days per year. Normal national holidays.
• Benefits: This is a part-time position and does not include healthcare or additional insurance coverage. Historically, discretionary bonuses have been paid based on company and individual performance.
