    We are a small packaging firm operating out of a home office in West Seattle. The position requires a detail-oriented, flexible and enthusiastic individual with strong computer skills. The ideal candidate also has exceptional customer service skills and the ability to handle project management, administrative, and bookkeeping duties (will essentially be able to run a small business). Benefits include 401k and profit sharing after one year of service. Salary is commensurate with experience.

    JOB DESCRIPTION

    Required Skills

    Computer Skills: Excellent command and working knowledge of Microsoft Word, Excel, Outlook, Quickbooks and Internet Explorer

    Other Requirements: Excellent grammar, punctuation and letter writing skills

    Professional and enthusiastic telephone manner

    Responsibilities

    Project Related Duties

    • Generate the following for all projects:

    o Request for Quotes

    o Quotes to Customers

    o Purchase Orders

    o Acknowledgements

    o Follow-up w/Suppliers regarding deliveries, freight issues, pallet information, etc.

    o Sales/Inventory Tracking Reports

    o Project Spreadsheets

    • Supplier Development

    • Maintenance of “Samples” File

    • Weekly Project Schedule Update

    • Internet searches for new ideas/customers, backgrounds, etc.

    Administrative Duties

    • Primary person to answer incoming calls

    • Office machine (fax, copier, phones, etc.) Troubleshooter

    • Maintenance of all project files

    • Minute taking during meetings

    • Internet searches for new ideas/customers, backgrounds, etc.

    • Monitor/purchase office supplies

    • Miscellaneous pickup and deliveries

    Finance/Accounting

    • Invoicing

    • Accounts Payable/Receivable

    • Financial Reporting

    • Budgets

    • Financial Projections

    • Cash Flow Projections

    • Buy/Sell Profit Margin Tracking

    • Payroll

    • Preparation of Quarterly/Annual Taxes

    • Asset tracking and reporting (Property Taxes)

    • Preparation of Year-End W-2’s

    • 401K Tracking

    • Preparation of Accounting related documents and schedules for year-end closing w/outside Accounting firm

    • Maintain business licenses updates/records

    • Investigate potential customer credit background/references

    • Banking and reconciliation of accounts

    • Collections

    Projected Related

    Folding Carton/Misc. Special Projects

    • Quotes, PO’s, acknowledgements, tracking and invoicing for new projects

    • Usage Analysis and Forecasting

    • Inventory Tracking

    Other Miscellaneous Projects

    • Work with corrugated, folding carton, rigid box, and ribbon suppliers when smaller orders are placed by customers including RFQ, quotes, acknowledgements, etc.

    • Act as Project Manager on smaller order requests, i.e., stock items such as boxes, ribbon, tape, etc.

    Sales

    • Network, develop leads for new sales

    • Internet searches for new ideas/customers, backgrounds, etc.

    Other

    • Provide assistance for general correspondence and spreadsheet preparation when needed

    • Responsible for maintenance/problem shooting for phone, voice mail and computer systems

    • Maintenance/repair of office equipment.

    • Maintain/update personnel files
