Located in the Arbor Heights neighborhood of West Seattle, Westside serves over 400 students in preschool through eighth grade. 31% of our student body are Black, Indigenous and People of Color. Westside’s administrative team supports the mission and work of the school and its constituents.
Westside is in search of an individual to join our staff as the Assistant to the Head of School and School Registrar. Reporting directly to the Head of School, the Assistant to the Head of School/Registrar will be responsible for providing administrative support to the Head of School and serving as the school registrar. Primary responsibilities are listed below.
We are seeking a candidate who is a team player and who is able to support the school’s focus on diversity, equity, and belonging. The successful candidate will participate fully in the life of the school, attending in-service days, meetings, and school celebrations, and uphold the mission, vision, and values of Westside School.
Reports to: Head of School
KEY RESPONSIBILITIES
Key Responsibilities: Assistant to the Head of School
-Uphold the school’s mission, vision and values.
-Help perpetuate a school-wide culture characterized by highly engaged staff, students, and faculty, high expectations, joyful learning, personal wellness, and a strong sense of community.
-Support the Head of School by performing administrative duties:
-Maintain Head of School and internal school events Google calendar.
-Schedule conferences, meetings, and travel for the Head of School.
-Compose or transcribe correspondence, memorandums, and other materials, including Board Report.
-Coordinate in-service days and other special events.
-Assist with the hiring process, providing communication and scheduling.
-Coordinate and execute administrative special projects.
-Provide seasonal admissions support.
-Attend and take minutes at Board and Educational Leadership Team meetings.
-Attend meetings and provide support to the Emergency Management Team.
-Support staff appreciation program, including birthdays and life events.
-Maintain school memberships and subscriptions.
-Meet regularly with the Head of School.
-Oversee several recess and dismissal duties per week (all school administrators participate in these)
-Other duties as assignedKey Responsibilities: Registrar
-Communicate with applicant families, 7/8th teaching team, admissions, and high schools to maintain system for tracking and submitting high school applications
-Compile and file student report cards, transcripts, and other school records
-Issue official transcriptions for current students and alumni
-File and communicate test scores to current families
-Manage submission process and review student health forms and immunization records in accordance with government policies
-Report immunization records to government agenciesSupervisory Responsibilities :
This position does not have supervisory responsibilities.QUALIFICATIONS

College degree preferred but not required. 1-2 years of related experience and/or training; or equivalent combination of education and experience.Knowledge, Skills, and Abilities:

-Strong time-management skills – ability to plan and perform multiple activities concurrently

-Patience, resilience, and a sense of humorComputer Skills:
Proficiency with MS Office Suite, Google Suite, and database and email experience required.Start Date: Immediately
Compensation and Benefits: This is a full-time position. Westside School offers a generous benefits package to full-time employees, which includes health, dental, and vision insurance, professional development, and 20+ vacation days. The salary range for this position is $50,000 – $60,000 annually, with a raise after July 2023.

Brooklynn_89ParticipantHi, it this still available? I moved to Washington in April. I was previously a City Planner in Los Angeles County, CA for 12 years. I am in my 30s and want to transition to working for a school district and get my teaching qualification. Thanks! Brooke
