POSITION DESCRIPTION
POSITION: Executive Assistant SUPERVISOR: President
FLSA STATUS: Exempt – SalariedThe purpose of this job description is to provide a guide by which you and the management at Blueprint Capital Services, LLC (the “Company”) may measure your progress and ability to meet our commitments. The following should be considered an outline of your responsibilities and duties as an employee of the Company, not a detailed description of how all tasks should be completed.
POSITION SUMMARY
The Executive Assistant will provide high-level administrative support primarily to the President and the Chief Financial Officer (the “Executives”). Reporting directly to the President, the position will provide executive support in a one-on-one working relationship. The Executive Assistant will provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the Company.
The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
ESSENTIAL FUNCTIONS
• Manage sensitive matters with a high level of confidentiality and discretion.
• Sustain a daily calendar of meetings and events.
• Prepare Word, Excel, PowerPoint documents, presentations, agendas, reports, special projects and other documents in support of objectives for the Company.
• Arrange travel and accommodations for the Executives.
• Screen incoming telephone calls, take and deliver accurate messages, respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
• Excellent communication and time management skills; proven ability to meet deadlines.
• Ability to function well in a high-paced environment; perform additional duties as assigned by the Executives.
• Draft and prepare correspondence for internal announcements, board meetings, and organizations that the Executives are involved with.
• Manage Executive contacts.
• Assist in preparing and managing presentations and decks.
• Be responsive to emails/texts/phone calls.
• Welcome Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries.
• Use discretion, confidentiality, and good judgment in handling Company matters.
• Represent the Company and the Executives in a positive light through great follow-through skills and sound judgment.
• Conserve the Executives’ time by reading, researching, collecting and analyzing information as needed in advance.
• Complete ad hoc projects as assigned – such as personal events, errands and/or family needs.
• Organize complex calendars and schedules; resolving any scheduling issues.QUALIFICATIONS
• Bachelor’s degree preferred.
• 3+ years of related experience required in working in an Executive Assistant or Administrative Assistant role supporting senior executives.
• Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
• Ability to communicate effectively and professionally.PREFERRED ATTRIBUTES
