Global Diving & Salvage, Inc. is the largest diving contractor on the West Coast, based out of Seattle, WA, a leading provider of marine construction and infrastructure support services in the United States, and an internationally recognized casualty responder.
We are currently seeking a receptionist to join our team in Seattle, WA. The receptionist is responsible for receptionist duties, general office work and for providing administrative support.
Duties and Responsibilities include, but are not limited to:
Answer phones, direct calls, and take messages
Greet visitors and maintain visitor sign in log
Provide daily administrative support to clients and management
Assist with scheduling and planning of meetings and events including communications with guests, booking space & catering, as well as any other logistical needs.
Maintain office and building supplies
Draft and type written correspondence on behalf of management
Process and distribute regular mail on a daily basis. Prepare shipping labels, maintain tracking, and communicate package status to sender/receiver, schedule package pick-ups and deliveries
Provide specific job support as necessary to management staff
Organize and distribute all incoming faxes and emails to appropriate personnel
Prepare correspondence, maintain phone lists, and general assistance for all departments
Create and maintain work order files and project related information. Assist Accounting Department with filing
Ensure that work space is maintained in an organized and professional manner
Assist employees with copier and postage machine as needed, refill paper, toner and work with IT on maintenance issues
Other duties as assigned
High school diploma or equivalent
AA degree preferred
2 years experience in office administration role
Previous experience in construction industry preferred
Excellent oral and written communication skills
Must have the ability to answer multiple phone lines
Advanced organizational skills
Strong attention to detail
Excellent customer service skills
Ability to identify and resolve problems in a timely manner
Must demonstrate accuracy and thoroughness
Excellent interpersonal and team skills
Intermediate Microsoft Suite skills (Outlook, Word, Excel, and PowerPoint)
Physical / Mental Requirements
Perform work in an office setting
