    GENERAL FUNCTION

    Manages the branch administrative systems related to Youth Enrichment program enrollment, accounts receivable, collections, termination and reporting.

    PRINCIPAL ACTIVITIES

    1.Maintains accurate Youth Enrichment Program/s records and supporting hard copy files for all program locations including licensed program/s and enrichment program/s.
    2.Partners with branch employees to ensure a quality enrollment experience for families.
    3.Reviews and manages monthly bank draft reports and follows up on returned drafts.
    4.Processes Youth Enrichment Program/s accounts receivables including mailing and follow-up on monthly invoices.
    5.Manages third party payment accounts.
    6.Inputs data for new, renewing and terminating Youth Enrichment Program participants into the program management software. Ensures information is accurate and entered in a timely manner.
    7.Administers the Youth Enrichment Program/s financial assistance program and reporting.
    8.Hires, trains, supervises and schedules youth enrichment employees and volunteers when applicable.
    9.Responds to questions from prospective Youth Enrichment Program/s families providing up-to-date information on each program’s capacity, lesson plans and leadership. Refers prospective families to appropriate program or staff member when needed.
    10.Supports family engagement and retention activities of the branch.
    11.Ensures that Youth Enrichment Program/s administration best practices are adhered to and assists with program audit preparation.
    12.Ensures that guidelines and procedures for accounting and related procedures are followed for cash reporting and other business functions.
    13.Attends monthly staff meetings and trainings as required.
    14.Provides support for the annual branch fundraising campaign, the Annual Campaign.
    15.May conduct membership interviews, tours and assist with member service desk.
    16.Other duties as assigned.

    POSITION REQUIREMENTS

    1.Two years or more of related administrative experience.
    2.High school education or equivalent; two or more years of college education preferred.
    3.Knowledge of computers, including database software, Microsoft Office Suite, Word and Excel.
    4.Accurate keyboarding skills. Ability to type a minimum of 60 WPM.
    5.Knowledge and experience with standard office equipment such as phone systems, copier, fax machine.
    6.Knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.). Ability to speak any language in addition to English may be helpful.
