POSITION DESCRIPTION / PRIMARY GOALS:
This is a full-time position in a high-energy, fast-paced office environment. The position will encompass a wide variety of administrative tasks, including assisting BET&R’s executive and technical team with the administrative aspects of the firm’s technical consulting, architecture, construction administration, and construction defect litigation. This position seeks to make the duties of the Technical Team easier and maintain an optimistic and healthy work environment for the executive team and the office as a whole. Furthermore, this position helps to ensure client interaction on the phone, in email, and as guests in the office, have a positive experience working with the staff at Building Envelope Technology and Research.Primary Roles and Responsibilities:
Editing of Technical Writing and Assist with Document Production:
• Proof-read, enter edits, and assist in finalizing technical documents such as evaluation reports, specifications, field reports, project manuals, bid packages, and scopes of work;
• Compile project manual binders, reports, and other work product for distribution to clients;
• Prepare transmittal letters and emails for Technologists and Managers as requested;
• Prepare Action Item spread sheets;
• Download, resize, and save digital photos appropriately, and when requested print photo thumbnail review sheets for Technologist’s review;
• Track Field Report Distribution via Smartsheet.Assist BET&R’s Executives with Daily Tasks:
• Assist the executive team in managing correspondence. This includes authoring and finalizing written communication with clients, potential clients, and companies we work closely with;
• Assist the executive team in managing schedules and record the hours worked by the executive staff;
• Handle miscellaneous purchases, errands, etc. for the office, as necessary;
• Serve as the key administrative staff person for select projects and communications;
• Assist the Technical Team in ongoing project documentation and organization as requested.Office Responsibilities:
• Answer phone; handle all calls promptly and accurately, by taking and relaying messages to the appropriate personnel. Prioritize and balance incoming calls with staff availability and schedule;
• Perform Office opening procedures at the start of each work day. Make a check-list to ensure all tasks are completed. Check printers, fax, and copier for paper and refill as needed each morning;
• Ensure all common areas (including Conference Rooms, Entry Area, Work Room, etc.) are neat and well organized each day and so each is ready for use. Keep kitchen and equipment neat and clutter free for guests’ and employees’ use.
• Coordinate the firm’s consultants seminar attendance and speaking engagements;
• Procure travel arrangements;
• Maintain Outlook contact database, enter new contacts;
• Assist with Legal Subpoenas, gathering file documents, etc.;
• Coordinate vendor seminars;
• Assist professional staff with License renewals and certification process;
• Compliance Poster update/renewal.Qualifications:
• At least one year of administration experience;
• Proficiency in Microsoft Word, PowerPoint, Excel, Outlook;
• Ability to converse with clients cordially, articulately and positively;
• Basic Understanding of web-based Conferencing
• Ability to think critically and work diligently
• Organized and detail oriented
• Cooperative and a team player
