20 - 25 hours per week for the following requirements:
Job Tasks:
• Answer telephones and transfer to appropriate staff member.
• Meet and greet patients and visitors with a positive attitude/tone.
• Schedule patients using online scheduling system.
• Collect payments for co-pays, co-insurance, patient account balances, and medical equipment purchased by clients.
• Answer questions regarding insurance and billing.
• Create and modify documents using Microsoft Office.
• Perform general clerical duties to include but not limited to: scheduling, photocopying, faxing, mailing, and filing.
• Maintain hard copy and electronic filing system.
• Sign for and distribute UPS/Fed Ex/Airborne packages
• Research, price, and purchase office furniture and supplies
• Coordinate and maintain records for staff office space, phones, parking, company credit cards and office keys.
• Setup and coordinate meetings and conferences.
• Distribute staff daily schedules on daily charge sheet.
• Keep minutes for staff meetings and file as appropriate.
• Support all staff, clinical and clerical, in assigned project based work.
• Other duties as assigned.
• General housekeeping including dusting, vacuuming, cleaning bathrooms.
• Daily laundry duties.
Additional Responsibilities:
• Provide office orientation for new employees.
• Setup accommodation and entertainment arrangements for company visitors.
• Help therapists with the transition between patients, as needed. This includes, but is not limited to preparing treatment rooms for the next patient, taking electrodes off of the patient when they have just completed a treatment of electrical stimulation.
• As assigned by the office manager, this position may be responsible for opening mail, filing EOB’s (explanation of benefits per insurance companies and payors for physical therapy services), separating checks, totaling deposits, and preparing the deposit.
• As assigned by the office manager, this position may also be responsible for delivering the deposit to the bank, as transportation allows.
Knowledge and Skill Requirements:
• Basic reading, writing and arithmetic skills required. This is normally acquired through a high school diploma or equivalent.
• Knowledge of Microsoft Office and telephone protocol. Duties require professional verbal and written communication skills and the ability to type 50 wpm. This is normally acquired through one to three years of clerical experience.
